Most companies buy attendance software the wrong way. They search online, find a list of tools, pick the one with the best rating, and discover six months later that it doesn’t work for their field staff, or the payroll integration is manual, or the biometric device they bought doesn’t talk to the cloud system they’re paying for.

Attendance software isn’t one thing. There are five or six completely different types of systems and the right one depends almost entirely on how your team actually works. A biometric machine is the right answer for a 200-person factory. It’s the wrong answer for a 25-person company with half the team working from client sites.

Here’s how to actually choose based on your team structure, not a feature checklist.

Start With How Your Team Works, Not What Features Sound Good

The first question to answer before looking at any software: where are your employees when they’re working?

If everyone comes to one office every day, your attendance problem is simple someone needs to mark in and out, and you need that data to flow into payroll. A fingerprint machine at the entrance solves this. So does a face recognition tablet. Both cost under ₹10,000 and require no ongoing maintenance beyond power.

If some or all of your team works from client sites, from home, or across multiple locations a device on a wall does nothing for them. You need GPS-based check-in, which is a completely different category of software. And within GPS-based tools, there’s a critical difference: systems that validate location on the device can be fooled by fake GPS apps available freely on the Play Store. Systems that validate on a server where the employee’s phone just sends the data and the server decides if it’s real are significantly harder to game. This distinction doesn’t appear in any marketing material. You have to ask the vendor directly.

The question to ask: ‘Where does the GPS verification happen on the phone or on your server?’ If the answer is unclear or they say ‘on the device,’ keep that in mind.

The Payroll Connection The Part Most People Ignore

This is the most important thing about attendance software that almost nobody considers when buying it.

Attendance data that lives in a separate system from payroll has to be transferred manually before every salary run. Someone exports a CSV from the attendance tool, adjusts it for LOP and overtime, and imports it into the payroll system. This takes 2–4 hours for a 30-person company. It introduces errors. And it happens every single month.

When attendance and payroll are in the same system, that entire step disappears. LOP calculates automatically from absent days without approved leave. Overtime flags when someone works past shift end. Payslips generate from verified check-in records. The salary calculation is only as good as the attendance data feeding it and when they’re connected, both are accurate by default.

Before shortlisting any attendance tool, ask: does this connect to payroll, and is it native or through an integration? Native means they’re built together one system. Integration means data moves between two systems, which means a potential failure point and usually a manual step somewhere. Native is significantly better for Indian payroll because PF, ESI, PT, and LOP calculations all depend on accurate attendance data.

Things to Actually Verify Before Buying

The free trial question

Any attendance software worth buying will give you a free trial or a free tier. If a vendor won’t let you test the product with your own data before paying, that’s a reason to be cautious. During the trial, don’t just check if the check-in works test the edge cases. What happens when someone checks in from outside the geo-fence? What does the report look like? Can you generate the LOP data in a format payroll can use?

Mobile app quality

Your employees are going to use the app every day. Open the Play Store and read the reviews not the 5-star ones, the 3-star and 2-star ones. Look specifically for complaints about check-in failures, GPS not detecting, app crashing on specific Android versions, or OTP issues. Indian Android devices are fragmented across hundreds of models and OS versions. An app that works on a Samsung Galaxy S24 may not work on a ₹8,000 Redmi. Ask the vendor what Android versions they support and test on the actual devices your field staff use.

What happens when the internet is down

For office-based tools with biometric devices, this matters less the device stores locally and syncs when connectivity returns. For app-based check-in, check whether the app allows offline check-in that syncs later. Field staff in Tier-2 cities, construction sites, or areas with patchy data coverage can’t be left with no way to mark attendance.

Compliance with Indian labour law

Attendance records are part of the statutory wage register under the Code on Wages, 2019. The system should maintain timestamped records per employee that are producible on demand. Some attendance tools are built for global markets and don’t generate wage registers in the format Indian labour inspectors expect. If you’re in a state with active labour inspection (Maharashtra, Tamil Nadu, Karnataka), this matters.

Support where it actually is

Before buying, call the support number. Not the sales number the support number. See how long it takes to reach someone and whether they can answer a basic technical question. For most Indian SMEs, the person managing attendance software is the HR manager or an admin, not an IT team. If something breaks before salary day, you need support that picks up the phone.

What to Skip Features That Sound Good but Aren’t Worth Paying Extra For

AI-powered insights. Most attendance tools now advertise AI dashboards that predict absenteeism or identify patterns. For a 30-person company, a simple attendance report sorted by absence frequency tells you everything you need. You don’t need a machine learning model to tell you that one person has been absent every other Friday.

Integrations with 50 tools. A vendor listing 50 integrations usually means 48 of them are via Zapier and haven’t been tested recently. The only integration that matters is the one with your payroll software. Verify that specific integration works, not the general claim.

Facial recognition with a dedicated hardware terminal if you have under 30 employees. A ₹25,000 face recognition terminal is overkill for a small team. A face recognition app running on a ₹7,000 tablet mounted at the entrance does the same job. Don’t buy hardware you don’t need because it sounds more professional.
