Identity, education, and employment history are the baseline for most Indian companies. Criminal record and credit checks are sector-specific.

The BGV Process Step by Step

Step 1 Offer letter issued, BGV initiated. Once an offer is accepted, the employer shares a BGV consent form and document checklist with the candidate. The candidate submits copies of their ID, educational certificates, previous experience letters, and relieving letters.

Step 2 BGV agency or in-house team starts verification. Most companies above 100 employees use a third-party BGV vendor AuthBridge, First Advantage, Accurate Background India, or SpringVerify are commonly used. Smaller companies verify in-house by calling previous employers directly.

Step 3 Education verification. The agency contacts the university or checks DigiLocker/National Academic Depository. Degree, year of passing, and roll number are confirmed. Distance learning degrees and tier-3 college certificates take longer sometimes 10–15 days if the institution is slow to respond.

Step 4 Employment history verification. Previous employers are contacted typically the HR or People team. The agency verifies: designation, dates of joining and leaving, and whether the candidate is eligible for rehire. Sometimes the reference is the candidate’s ex-manager rather than HR. This step surfaces the most discrepancies inflated designations and extended dates are the two most common issues.

Step 5 Identity and address verification. Aadhaar and PAN are checked against the UIDAI and income tax portal respectively. Address verification sometimes involves a field agent visiting the address common in BFSI hiring.

Step 6 Report generated and shared with HR. The BGV vendor produces a report with a status for each check clear, flagged, or unable to verify. HR reviews and decides whether to proceed, raise queries, or withdraw the offer. Timeline: 7–21 days depending on the checks initiated.

Why Employees Should Take This Seriously

Most candidates assume BGV is a formality. It isn’t and small discrepancies that seem harmless cause actual offer withdrawals.

Employment dates. Adding two months to a previous stint to fill a gap is the most common BGV discrepancy. Agencies verify against payslips, PF records (EPFO’s UAN history now shows employer-wise contribution dates), and ESI records. PF records are particularly hard to falsify the monthly contribution timeline is there.

Designation inflation. Listing ‘Senior Manager’ when the actual role was ‘Deputy Manager’ gets caught when the previous employer’s HR confirms the actual title. In large Indian companies with defined grade structures, this is straightforward to verify.

Education certificates. Degrees from unrecognised universities, certificates from short courses listed as degree-level qualifications, and gap years not accounted for these come up more in entry-level and mid-level hiring than most companies expect.

The relieving letter problem. Candidates who left a previous employer without serving notice often don’t have a relieving letter. This creates a BGV gap. What to do if you don’t have a relieving letter: be upfront with the new employer before BGV starts, not after the agency flags it. Proactive disclosure is handled differently from discovered discrepancy.

An offer can be withdrawn at any point before joining if BGV returns adverse findings. After joining, the same findings can result in termination. Most Indian employment contracts include a BGV clause explicitly.

Why Employers Can’t Skip BGV

The risk isn’t just a bad hire. It’s a downstream liability.

Negligent hiring. If an employee causes harm to a client, another employee, or the company’s data and the employer didn’t verify their background, the employer can face legal exposure. Courts in India have begun applying negligent hiring principles, particularly in BFSI, healthcare, and sectors handling sensitive data.

Credential fraud is common. AuthBridge’s India Trend Report (2024) found that roughly 11% of background checks return at least one discrepancy. Employment discrepancies account for the largest share. In IT hiring specifically, resume fraud around skills and certifications is significantly higher than in other sectors.

The cost of a bad hire. SHRM estimates the cost of replacing a bad hire at 50–200% of annual salary once you account for recruitment, onboarding, productivity loss, and team disruption. A BGV process that costs ₹1,500–₹5,000 per candidate is cheap relative to that.

Client and regulatory requirements. Companies in BFSI, IT services, pharma, and any sector with government or MNC clients typically have BGV mandated in their vendor agreements. Not running BGV on your employees can put the client contract at risk.

Documents an Employee Should Keep Ready

Before BGV starts, have these accessible.
